marketing preferences; and
technical information collected when you use the website, such as your IP address, browser type, device information and cookie data.
Not every type of information listed above will be collected from every client. I only collect information that is relevant to the service, treatment or enquiry concerned.
3. Medical and Health Information
Information relating to your health is treated as special-category personal data and receives additional protection under UK data protection law.
I collect health and medical information where it is necessary to assess your suitability for treatment, provide safe and appropriate care, prescribe where clinically appropriate, maintain accurate clinical records, manage follow-up care and respond appropriately in the event of an adverse reaction or complication.
Depending on the circumstances, this information may be processed because it is necessary for the provision of health treatment by a healthcare professional and/or where another appropriate condition under data protection law applies.
Where I ask for consent for a separate purpose - for example, using identifiable photographs for marketing - that consent will be requested separately from your consent to treatment.
4. Why I Use Your Information
respond to enquiries;
arrange consultations and appointments;
send appointment confirmations and reminders;
assess your suitability for a treatment;
review your medical history;
provide treatment safely;
prescribe medicines where clinically appropriate;
maintain clinical and treatment records;
provide appropriate aftercare and follow-up;
contact you regarding your treatment where necessary;
process payments;
issue and manage gift vouchers;
process skincare or other product purchases;
respond to questions, concerns or complaints;
comply with professional, regulatory, insurance, tax and legal obligations;
improve the services provided by the clinic;
maintain the security and operation of the website; and
send marketing communications where I am permitted to do so.
5. Lawful Bases for Processing
The lawful basis used will depend upon why your information is being processed. These may include:
Contract - where processing is necessary to provide a service you have requested, manage your booking or fulfil a purchase.
Legal obligation - where I am required to retain or disclose information to comply with the law.
Legitimate interests - where information is reasonably required to operate and protect the business, communicate with clients, maintain records or improve services, provided those interests do not override your rights.
Consent - where you have specifically agreed to a particular use of your information, such as certain marketing communications or the publication of identifiable photographs.
For health and other special-category information, an additional lawful condition will also be identified as required under UK data protection legislation.
6. Consultations, Treatment Records and Prescribing
As a registered healthcare professional and Independent Prescriber, I am required to maintain appropriate and accurate clinical records.
Your records may include your consultation, medical history, consent, clinical assessment, treatment plan, medicines prescribed or administered, treatment notes, photographs, aftercare and subsequent reviews.
Providing complete and accurate medical information is important for your safety. You should tell me about relevant medical conditions, medications, allergies, previous treatments and any changes in your health before treatment.
Where prescription-only medicines are being considered for an elective non-surgical cosmetic procedure, prescribing will only take place following the consultation and clinical assessment required by my professional standards.
A consultation does not guarantee that a prescription or treatment will be provided. Treatment will only proceed where I consider it clinically appropriate and safe.
7. Treatment Photographs
Clinical photographs may be taken where they are appropriate for assessment, treatment planning, monitoring results, documenting treatment and maintaining an accurate clinical record.
Clinical photographs forming part of your treatment record will be kept confidential and will not automatically be used for advertising or social media.
If I would like to use an identifiable photograph or video for promotional purposes, including the website or social media, I will ask for separate permission.
Declining permission for marketing photography will not affect your treatment or the service you receive.
Where marketing consent is relied upon, you may withdraw that consent for future use by contacting me. Withdrawal will not make any use that occurred before withdrawal unlawful.
8. Sharing Your Information
I do not sell your personal information.
Where necessary, information may be shared with trusted organisations or professionals involved in providing or supporting my services, including:
booking and appointment-management providers;
secure clinical record systems;
payment processors;
finance or payment providers such as Klarna where you choose to use their services;
pharmacies and prescribing or dispensing services;
healthcare professionals where necessary for your care;
insurers and professional indemnity providers;
IT, website, email and data-storage providers;
accountants or professional advisers;
regulators, law-enforcement bodies or other authorities where disclosure is legally required.
Only information reasonably necessary for the relevant purpose will be shared. Third-party organisations that process information on my behalf are expected to handle it securely and in accordance with applicable data-protection requirements.
9. Klarna and Other Payment Providers
If you choose to pay using Klarna or another third-party payment service, that provider may collect and process information independently in order to provide its service, carry out eligibility or identity checks, process the transaction and manage payment.
Their handling of your information is governed by their own privacy terms. The clinic does not receive or store your complete card details where payments are processed securely by an external payment provider.
10. Tropic Skincare and Product Purchases
If you purchase or enquire about Tropic Skincare products through me, I may use your contact and order information to process your enquiry or purchase and provide customer service.
Where an order is processed through an external supplier or platform, that organisation may process information in accordance with its own privacy policy.
Your medical information will not be provided to a skincare supplier for marketing purposes unless there is a lawful reason and you have been appropriately informed.
11. Marketing
From time to time, I may send information about treatments, clinic news, products, promotions or special offers.
Where consent is required, marketing will only be sent if you have actively chosen to receive it. Consent to marketing is separate from consent to treatment and is never a condition of receiving treatment.
You can unsubscribe from marketing communications at any time using the unsubscribe option provided or by contacting me at weareaesthetics@hotmail.com.
12. Cookies and Website Information
The website may use cookies and similar technologies to operate correctly, understand how visitors use the site and improve your online experience.
Cookies that are strictly necessary for the website to function may be used without consent where permitted by law. Non-essential cookies, such as certain analytics or advertising cookies, should only be activated after you have made a choice through the website's cookie controls.
You can also manage cookies through your browser settings. Where appropriate, further information about the cookies used on the website will be provided through the website's cookie notice or consent tool.
13. How Long I Keep Your Information
I will not keep personal information for longer than reasonably necessary.
Different types of information may need to be retained for different periods depending upon professional healthcare record requirements, the nature of the treatment provided, regulatory or professional guidance, insurance requirements, prescription and medicine records, tax and accounting requirements, legal limitation periods and the need to establish, exercise or defend legal claims.
Clinical records may therefore need to be retained even if you ask for your information to be deleted. Once information is no longer required, it will be securely deleted, destroyed or anonymised as appropriate.
14. Keeping Your Information Secure
I take reasonable technical and organisational measures to protect personal and medical information from unauthorised access, loss, misuse, alteration or disclosure.
Access to clinical information is restricted appropriately, and electronic systems used to manage information are selected with confidentiality and security in mind. No internet-based system can be guaranteed to be completely secure, but appropriate measures are taken to reduce risk.
15. International Data Transfers
Some technology providers used by the website or clinic may store or process information outside the United Kingdom.
Where personal information is transferred internationally, appropriate steps will be taken to ensure that the transfer complies with applicable UK data-protection requirements and that appropriate safeguards are in place where required.
16. Your Data Protection Rights
Depending upon the circumstances and the lawful basis being relied upon, you may have rights including the right to:
be informed about how your information is used;
request access to personal information held about you;
ask for inaccurate information to be corrected;
request deletion of your information in certain circumstances;
request restriction of processing in certain circumstances;
object to certain uses of your information;
request transfer of certain information;
withdraw consent where processing is based upon consent; and
object to direct marketing at any time.
These rights are not absolute. For example, I may be required to retain clinical information despite a request for deletion where there is a professional, regulatory, insurance or legal reason to retain it.
To exercise your rights, please contact weareaesthetics@hotmail.com.
17. Complaints About Your Information
If you are concerned about how your personal information has been handled, please contact me first at weareaesthetics@hotmail.com so that I can investigate and try to resolve your concern.
You also have the right to raise a complaint with the Information Commissioner's Office (ICO), the UK's data-protection regulator. Further information is available at ico.org.uk.
18. Links to Other Websites
This website may contain links to websites operated by third parties, including booking, payment, social-media, skincare or finance providers.
We are Aesthetics Ltd is not responsible for the privacy practices of external websites. You should review the privacy information provided by the relevant organisation before submitting personal information to it.
19. Changes to This Privacy Policy
I may update this Privacy Policy from time to time to reflect changes to the services I provide, technology, professional requirements or applicable law.
The latest version will always be published on weareaesthetics.co.uk, with the date of the most recent update shown at the top of this page.
